Case: Authoring of a software user guide in English

Client

WordPilots on behalf of a major Danish engineering company

Time

February 2011

Description

WordPilots were approached by a major Danish engineering company who needed a new user guide for the most recent version of an administration program they have developed. I was given the task of writing the guide in English using Microsoft Word so that it might subsequently easily be translated into other languages.

As the project deadline was comparatively tight, timely communication of project status as well as a careful initial balancing of requirements and expectations were very important. Following a kick-off meeting at the end client's office, the project was launched, and status was constantly communicated via e-mail.

The primary project challenge was to constantly achieve a tone and stylistic level that would appeal to the end users of the programme. Also, I had to prioritise my efforts as the programme has far more, and vastly more detailed, functions than was feasible to describe in the time given. During the authoring process, I had access to previous documentation as well as a working copy of the programme. I created screen shots of the programme in action and inserted them in the guide. Technical issues were clarified by phone or e-mail and despite the tight deadline, the user guide was finished on time.

Following this, WordPilots have overseen translation of the finished English guide to several other languages.

The client says

Project manager Maibrit Dirdal, WordPilots:
"Rasmus is an inspired translator and technical writer! He is always our preferred choice when we have an assignment that matches his professional profile. Rasmus always carefully familiarises himself with all assignment instructions, has a keen eye for target audience, style, and tone, and he navigates through assignments with a great command of language! Add to that constructive dialogue along the way with a good measure of humour, as a client you can sleep soundly at night!

A true word equilibrist!"
